1.  Before You Can Email

To use the email features, you will need an outgoing email server (SMTP).  If you own a website, the standard SMTP address will be smtp.yourwebsite.com  You can contact your web hosting company for the specific address of your outgoing SMTP email server.  If you do not have a website, most internet Cable or DSL services will have a SMTP outgoing email server for you to use.  Note:  Some SMTP email servers require a "user name" and "password".  If this is the case, you can setup your SMTP server as well as your secure user name and password information on the "Setup Options Form".  From the main calendar, select "File" from the menu bar, then select "Setup".

a. Setup Your SMTP Outgoing Email Server

Step 1- From the main calendar form, select "File", then "Setup".

Step 2- Enter your SMTP Outgoing Email Server ex. smtp.yourwebsite.com   Also enter your company's email address on this form.  

Step 3:  Setup your email signature.  Your email signature will appear at the bottom of your emails.  You can use html <tags> to create fancy signatures or hyperlinks.  Click on the blue label "Tip" to see an example of an email signature containing html <tags>.

2.  Sending an Email

Step 1:  Complete the necessary information to send an email:

TO: Email Address (you can include multiple email addresses by separating each address with a semi-colon symbol ";"  Example:  You@website.com ; Her@website2.com ; Him@website3.com

CC: Email Address (if you want to carbon copy the email to someone or yourself)

FROM: (this From email address will default to the email address setup on the "Setup Options Form")

EMAIL SUBJECT:

Optional File Attachment:
...and finally your email BODY text. 

Step 2:  Click on button labeled "Send Current Email".

3.  Sending An Email To A Large Number of Recipients:

Step 1:  To send an email to many recipients, you can create a text file containing all of your email addresses on separate lines.  To view an example email distribution file, click on the checkbox labled "Use Email From .txt File".  Now click on the blue label "Tip: Click Here To View A Sample Email.txt file......"  You will notice that a sample file, "c:\EmailSample.txt", will open to give you an example of how an email distribution file should look. 

4.  Email Address Book

Your Email Address Book consists of entries from your "Employee Roster/Rolodex Form".  To view your Email Address Book, select the checkbox labeled "View Address Book", then select a Rolodex Category to view the email addresses.

5. Troubleshooting Email Problems

Note:  If you have problems connecting to your SMTP Outgoing Email Servers or sending a general email, please contact your SMTP Email Service Provider.
